A user can access our site without providing any information at all. Services that currently require some form of sign up include a submission of the form on the contact page. At Height for Hire Ltd, we are committed to protecting and respecting your data and privacy rights. This policy sets out the basis on which we collect personal information about people who hire our equipment, how we use this information, how we might share this information and how we keep it secure.

How we collect information from you?

When you make an enquiry or place an order relating to the hire or sale of equipment from us either over the phone, calling into a depot, by email or through our web site.

What type of information is collected from you?

  • When we respond and deal with hire enquiry/request and offer a quotation we require your name, telephone number and email address
  • When an order is placed we need booking information and customer account registration. We require your name, postal address, telephone number and email address. This enables us to process your booking, issue order acknowledgment and contact you if any queries arise
  • Financial/Account information: Payment information such as credit/debit card details to secure bookings and bank details
  • Delivery Information: When delivering and collecting equipment to and from site, we will require site contact details, name and telephone number and email address to send proof of delivery / collection
  • Date of Birth/ID/Insurance Information: When renting certain types of equipment, which customers collect, we need proof of ID and confirmation that adequate insurance cover is in place
  • Service or Repair: To attend breakdowns and repairs, our Engineer will ask for site contact details
  • Customer Feedback: From time to time we may contact you regarding feedback on our products and services

How do we use this information?

The information we process about you is required to deal with your enquiry; to supply hire orders; for accounts registration; required by law; is necessary for the exercise of the Company’s legitimate business interests and needs to carry out our obligations arising from any contracts between you and us; to update you on any changes to our products or service.

Who do we share your information with?

We share the information we collect with:

  • Departments/Companies within our Company Group which have relationships with our customers e.g. Safety Training, Customer Service & Maintenance
  • Other businesses, such as subcontractors, which help us provide service to our customers e.g. transport/haulage, tyre companies, hose repairs, payment service companies who enable you to use payment cards with us
  • Credit reference agencies who provide credit score information
  • Our insurers and insurance brokers to enable us to obtain insurance against risks we face running our business
  • We may disclose specific information, upon specific request, by government authorities, law enforcement and regulatory authorities, where required or permitted by law, and for tax or other purposes

How long do we keep your information for?

We will keep your details on record until we have dealt with your hire order and for a reasonable time afterwards. If there is no activity on your account after 2 years we will make it inactive.

There is certain information, which we are required by law to retain for 6 years (invoices/bank records for revenue/ tax obligations).

What safeguards are in place to protect your personal information?

  • All data is protected behind a series of firewalls to protect from hacking
  • All data is encrypted in a database, we do not keep paper copies of important documents
  • Access to data through our back-office systems is restricted via encrypted passwords
  • Any personal data/documents are removed after a fixed period of inactivity
  • Signup to our Mailing List can only be requested by the end user
  • We do not share data with unauthorised 3rd parties
